V25-1072 : BECCLES PUBLIC HALL - BOOKING POLICY
The Director of Community Services reported that booking the Public Hall had, historically, developed as a result of custom and practice. Over a number of years regular users had become accustomed to slots in the year which had been allocated to them. Requests to hire the Public Hall had increased considerably over the past few years, resulting in conflicting requests to hire the venue, highlighting the need for a formal policy, and draft guidelines had been produced. The draft guidelines were applied to requests for dates submitted by users who were then asked to comment on how the application of the draft guidelines affected them. Certain suggestions from users had been incorporated into the proposed guideline policy. In this way it had been possible to identify difficulties in advance, and the guidelines also sought to resolve the conflict over dates and allow the introduction of new initiatives at the Hall. The new guidelines had been discussed with users and in their present form provided a workable method, agreed by the majority of consultees by which the Hall could be hired. Significantly, both officers and hirers would know how the priorities and dates were set for the hire of the Hall. RESOLVED
That the booking policy for the Beccles Public Hall, be adopted.
